At VETIBILITY INC. (the “ Company ”, “ we ” or “ us ”), we use our website and other internet-based tools to connect pet owners (“ Clients ”) with licensed veterinarians (“ Vets ”), including those operating within a veterinary clinic, hospital, office, or mobile practice that is part of the Vetibility Clinic Network (“ VCN ”), and to deliver veterinary telehealth and telemedicine services for pets and service animals (“ Pets ”).
For the purposes of this Policy, veterinary telehealth means veterinary professional services delivered remotely using telecommunications technology, including through the Website and our applications. Veterinary telemedicine refers to the provision of specific veterinary medical advice and veterinary treatment of a Pet based on a virtual assessment of disease or injury by means of telecommunications technology where no in-person physical examination of the Pet by the Vet takes place. Applicable statutes, regulations, and professional standards may use “telehealth,” “telemedicine,” or both; you remain responsible for compliance with the terminology and rules that apply in your jurisdiction. Unless the context requires otherwise, a reference in this Policy to telemedicine should be read to include telehealth where appropriate.

When you use veterinary telehealth or telemedicine features—including scheduling or joining virtual consultations, messaging or uploading files for a Vet, using clinic-branded or VCN entry paths, or interacting with triage or visit workflows—we may collect and process additional information such as clinical or care-related details you provide about your Pet, communications between Clients and Vets, and records generated in connection with visits. Where our Services support audio, video, or similar modalities, related content or metadata may be collected and stored as needed to operate the Services and meet professional, legal, and safety obligations. Depending on your jurisdiction, some of this information may be considered sensitive.
Virtual visit transcripts. For certain telehealth visits, we may create, receive, or store text transcripts or similar documentation of the consultation (collectively, “ visit transcripts ”) as part of operating the Services and maintaining records associated with care. Visit transcripts may be derived from audio or video of the consultation, from messaging, or from other documentation tools we use to support visits. We may make visit transcripts available to the treating Vet and, where applicable, to VCN partner clinics or their personnel, as reasonably necessary to deliver care, coordinate follow-up, and meet professional and legal standards. Where our Services require it for your account type, client role, or application version, we may ask you to confirm consent to transcript-related processing before you request or complete certain visits; when recorded, that consent is stored with the appointment or visit record. Retention of visit transcripts and related records is subject to applicable law, our legitimate operational needs, and this Policy. If you decline consent where it is requested, you may be unable to use those specific visit features until consent is provided or until you use a supported version of our applications, as applicable.
We will take steps to protect the information submitted to us by Users and we will not disclose any personal identifying information without the consent of Users, unless otherwise set out in this Policy.
